Traditional mechanical lock management for university and staff apartments suffers from prominent industry pain points, including cumbersome key issuance and recovery processes, frequent key loss and replacement, high labor costs for permission adjustment during room changes, difficult key retrieval upon staff resignation or student graduation, and unauthorized access by external personnel. I. University Dormitory Scenario

The lock system is interconnected with campus teaching, student affairs and campus card platforms to realize automatic data linkage.

New Student Enrollment: After the school completes student classification and dormitory bed allocation, the system automatically captures student status information and issues batch access permissions for corresponding dormitory locks with one click. Students can check in via physical campus cards or mobile virtual campus cards, eliminating the need for logistics staff to produce and distribute a large number of mechanical keys in a centralized manner.

Dormitory Adjustment: Once a student’s room change application is approved, the student management system updates bed information in real time. The lock background automatically revokes the access permission of the original room and activates the permission for the new dormitory, requiring no on-site lock adjustment or key replacement by dormitory administrators.

Graduation and Departure: When students complete graduation and departure procedures, their student information is cancelled synchronously in the campus system, and their dormitory access permissions become invalid automatically. This avoids manual key collection and loss inventory work one by one.

II. Corporate Staff Apartment Scenario

The lock system connects with corporate HR and staff accommodation management systems, adopting the same management logic as university scenarios.

Staff Onboarding: After the HR department completes employee entry registration and dormitory allocation, the system automatically grants dormitory access authorization. Employees can move in conveniently with staff cards or mobile devices.

Job Transfer / Room Adjustment: Upon the approval of internal room change applications, access permissions are automatically updated across different rooms.

Staff Resignation: Staff access permissions are immediately invalidated once the resignation process is completed, fundamentally eliminating potential security risks caused by retained keys of resigned employees.

The full-process automatic access control eliminates the procurement, distribution, recovery and lock cylinder replacement of mechanical keys, greatly reducing offline manual operations. All door opening records are stored in the cloud for full traceability. The system will automatically send background alerts for abnormal lock picking and long-term open door status, effectively upgrading the overall security level of apartments.
